When most people think about problems with copy machines, images from the movie Office Space come to mind.

Paper jams, running out of paper and replacing toner cartridges are all problems that we associate with these sometimes problematic, yet vital machines.

However, these are minor inconveniences compared to the biggest problem that can come from copiers: identity theft.

Many people may not know that copy machines are equipped with an internal hard drive that saves a copy of all documents that are scanned. According to a CBS article from February of this year, many used copiers for sale have not been wiped clean of the documents they hold on their hard drive.

Imagine that all of the documents that your company has ever scanned and copied are now available to whoever buys the used copier that you have just sold.

Used copiers can be a gold mine for an individual who will commit identity theft. The CBS article found several examples of documents re-printed from used copy machine hard drives that gave away customer information such as names, date of birth, address and even social security numbers.

A group called Digital Copier Security, Inc. is doing its best to raise awareness of this problem, but is largely greeted with indifference when notifying organizations about this problem.

What can your company do?

The CBS article states that there are security software available that a company can use to protect the information stored on their copiers hard drives, but notes that these security features are hardly ever used, and aren’t 100 percent effective.

The moral of the story: if you are going to be disposing or selling a used copy machine, make sure to wipe clean the hard drive first. The instruction manual for your machine should come with instructions for how to do this.

Every time your computer makes a file, it puts little bits of information in different spots within your computer. This eventually slows down your computer’s response time when you use it. The defragmenter recognizes the hard drive by putting all those bits of information back in a straight line so that files are organized in a contiguous fashion and a lot easier for your computer to read. When it’s easier to read, the computer is quicker to respond to your commands. “Defragging” will also leave the computer’s free space in one big chunk, allowing new files to be saved in an orderly fashion.

1. Prepare your computer for Defragmentation

  • Make sure your work is backed up to another media – copy or backup all work files, photos, email, etc., to another hard drive, CDROM, DVD or other type of media.
  • Make sure the hard drive is healthy – use CHKDSK to scan and fix the drive.
  • Close programs currently open – including virus scanners and other programs that have icons in the system tray (right hand side of the task bar)
  • Assure your computer has a constant source of power – The important thing is to be able to stop the defragmentation process, if there is a power outage. If you have frequent power brown outs or other outages, you should not use a defragmentation program without a battery backup. Note: If your computer does shut off while defragmenting, it may crash the hard drive or corrupt the operating system, or both.

  1. Click the start button
  2. Click the programs icon
  3. Click the accessories icon
  4. Click the system tools icon
  5. Click the Disk Defragmentation icon

  1. Click the Analyze button – the program will analyze your hard drive
  2. Do what the result screen says – If it says your hard drive does not need defragmentation, you probably will not benefit from doing it. You can close the program. Otherwise, proceed to the next step.

4. Defrag the Hard Drive

  1. If the program says your hard drive needs defragmenting, click on the Defragment button.
  2. Allow the program to do it’s work. It will take anywhere from 30 minutes to several hours to defragment your hard drive depending on: the size of the drive, the amount of fragmentation, the speed of your processor, the amount of your operating memory, etc.
  3. When the program has completed, close the program window. If there are any error messages make note of the error and print the log of this process to use in future maintenance or repair of the hard drive.
